Our retreats are intentionally small so that we can create a more personal, connected experience for everyone attending. Because we make commitments to accommodations, chefs, transportation, activities, instructors, and other retreat partners well in advance, your reservation also represents a financial commitment on our end.

We understand that plans can change. The cancellation policy below allows us to make those commitments while keeping our retreats small and personal.

By completing your reservation, you acknowledge that you have read and agree to these Terms & Conditions and Cancellation Policy.

1. Your Reservation

Your retreat space is reserved once your required deposit or payment has been received.

Hold deposits are non-refundable.

If you are unable to attend, you may request to transfer your reservation to another person, subject to advance written approval from ROM Soul Escapes and the following:

The replacement guest must meet all retreat requirements.
The replacement guest must agree to ROM Soul Escapes' Terms & Conditions and complete the required Release & Waiver Agreement.
Any remaining balance must be paid according to the original payment schedule.
The original guest remains responsible for the reservation until the transfer has been approved in writing.

A reservation transfer is not guaranteed and is subject to availability and the timing of the request.

2. Payments

Your payment schedule will be provided at the time of booking.

The remaining balance is due 30 days before the retreat start date.

If the remaining balance is not received by the due date, ROM Soul Escapes reserves the right to release the reservation and treat the reservation as a cancellation subject to the cancellation policy below.

3. Cancellation Policy

We know that no one books a retreat intending to cancel. However, because retreat expenses are committed well in advance, we have a firm cancellation policy.

More than 90 days before the retreat:
50% of the total retreat amount paid, excluding the non-refundable hold deposit, will be refunded.

90 days or less before the retreat:
Reservations are non-refundable and no refunds or credits will be issued.

This policy applies regardless of the reason for cancellation, including illness, injury, family or personal emergencies, changes in travel plans, weather, airline issues, or other circumstances outside of your control.

We encourage you to consider travel insurance and trip cancellation/interruption insurance at the time of booking. Insurance may provide coverage for certain unexpected circumstances that are not covered by our cancellation policy.

4. If You Cannot Attend

Because of the advance commitments involved in producing a retreat, ROM Soul Escapes cannot provide refunds or credits for:

arriving late or leaving early;
missing meals, excursions, classes, workshops, or other activities;
choosing not to participate in an activity;
changes in personal circumstances;
dissatisfaction with an aspect of the retreat; or
failure to attend the retreat.

If you are concerned about circumstances that could prevent you from traveling, we strongly recommend purchasing appropriate travel insurance.

5. Changes to the Retreat Experience

We carefully plan every retreat, but travel and events can sometimes require flexibility.

ROM Soul Escapes reserves the right to make reasonable changes to the itinerary, activities, instructors, transportation, accommodations, restaurants, vendors, or other retreat details when necessary or appropriate.

We will make reasonable efforts to provide a comparable alternative whenever possible.

For example, an excursion may need to change because of weather or local conditions, a restaurant or vendor may become unavailable, or an instructor may become unable to attend.

A change or substitution that does not materially alter the overall nature of the retreat does not create a right to a refund.

6. Instructor or Teacher Changes

We put a great deal of thought into selecting the teachers and facilitators who participate in our retreats.

However, circumstances can arise that prevent a scheduled instructor or facilitator from attending. ROM Soul Escapes reserves the right to substitute another qualified instructor, teacher, facilitator, or practitioner when necessary.

We will make reasonable efforts to provide an experience consistent with the original retreat offering.

A teacher or facilitator substitution does not automatically entitle a participant to a refund.

7. If ROM Soul Escapes Needs to Cancel

We work hard to make every retreat happen as planned. In the unlikely event that ROM Soul Escapes must cancel a retreat because there is insufficient participant interest, all money paid directly to ROM Soul Escapes for the retreat will be refunded.

We will provide notice as early as reasonably possible and, whenever practical, at least 30 days before the retreat.

ROM Soul Escapes is not responsible for expenses a guest may have incurred outside of ROM Soul Escapes, including airfare, hotels booked independently, transportation, visa expenses, or other personal travel costs.

For this reason, we strongly recommend travel insurance that includes trip cancellation and interruption coverage.

8. Circumstances Outside Our Control

Travel sometimes involves circumstances that no one can reasonably predict or control.

If circumstances outside of ROM Soul Escapes' reasonable control significantly affect the ability to operate a retreat—including severe weather, natural disasters, government restrictions, border or travel restrictions, transportation disruptions, strikes, civil unrest, public health events, or other extraordinary circumstances—we may need to postpone, relocate, modify, or cancel some or all of the retreat.

If this occurs, we will communicate with guests as soon as reasonably possible and will work in good faith to determine the most appropriate option, which may include rescheduling, a credit, or a refund depending on the circumstances and amounts recoverable from retreat providers.

Guests remain responsible for their own travel arrangements and related expenses.

9. Travel & Documentation

Guests are responsible for making sure they have all documents and requirements necessary for their trip, including:

a valid passport;
visas or travel authorizations, when required;
appropriate travel and health documentation;
any required vaccinations or health documentation; and
compliance with the entry requirements of the destination and any countries traveled through.

ROM Soul Escapes is not responsible for a guest being unable to travel because of missing, expired, or incorrect documentation.

10. Accommodations & Room Assignments

Accommodations and room arrangements are based on the retreat package selected at booking.

Room assignments may be made by ROM Soul Escapes based on the room category purchased and the retreat's rooming arrangements.

We will do our best to accommodate reasonable requests, but specific rooms, beds, views, or room configurations cannot always be guaranteed unless specifically stated as part of the booking.

11. Third-Party Services

Your retreat may include services provided by independent businesses and individuals, such as accommodations, transportation companies, restaurants, chefs, guides, boat operators, instructors, activity providers, and other local vendors.

We carefully select and work with our retreat partners, but these providers remain independent businesses and are responsible for the services they provide.

Their schedules, availability, policies, and circumstances may occasionally require changes.

12. Guest Health & Participation

Our retreats may include yoga, movement, walking, swimming, boating, excursions, workshops, travel, and other physical or recreational activities.

You are responsible for determining whether an activity is appropriate for you and for communicating any relevant physical limitations or concerns to the appropriate instructor or retreat leader.

If you have a medical condition, injury, pregnancy, physical limitation, or other concern that could affect your participation, we recommend consulting your healthcare provider before traveling and participating.

A separate Retreat Release & Waiver Agreement must be completed before participation.

13. Guest Conduct

We want our retreats to feel welcoming, respectful, and safe for everyone.

Guests are expected to treat other participants, instructors, staff, vendors, property, and local communities with respect.

ROM Soul Escapes reserves the right to ask a guest to leave the retreat, without refund, if their behavior is seriously disruptive, threatening, abusive, unlawful, or creates a significant concern for the safety or wellbeing of others.

14. Age Requirement

Unless otherwise stated for a particular retreat, participants must be 18 years of age or older.

15. Travel Insurance

Travel insurance is not required to book a retreat, but we strongly recommend it.

We recommend considering coverage for trip cancellation, trip interruption, medical expenses, emergency assistance, lost baggage, travel delays, and other circumstances relevant to international travel.

Please read any insurance policy carefully to understand what is and is not covered.

ROM Soul Escapes does not determine whether a particular insurance policy will cover your circumstances.

16. Release & Waiver

Participation in a ROM Soul Escapes retreat requires completion of a separate Retreat Release & Waiver Agreement.

The waiver addresses the risks associated with travel, physical activity, yoga and movement, excursions, water activities, accommodations, transportation, and other activities that may be part of the retreat.

The waiver must be completed before participating in the retreat.

17. Governing Law & Disputes

These Terms & Conditions are governed by the laws of the State of New Jersey, to the extent permitted by applicable law.

If a dispute arises, the parties agree to make a good-faith effort to resolve the matter informally and, if necessary, through mediation before pursuing litigation, except where applicable law provides otherwise.

18. Changes to These Terms

ROM Soul Escapes may update these Terms & Conditions from time to time for future bookings.

The Terms & Conditions applicable to your reservation are the version provided to you at the time of booking.

19. Entire Agreement

These Terms & Conditions, your retreat booking information, and the separate Retreat Release & Waiver Agreement constitute the agreement between you and ROM Soul Escapes regarding your participation in the retreat, together with any specific written terms provided for your particular retreat.

If any provision is found to be unenforceable, the remaining provisions will continue to apply to the fullest extent permitted by law.

Booking Acknowledgment

By completing your booking and submitting payment for a ROM Soul Escapes, LLC retreat, you acknowledge that you have read, understand, and agree to the 2027 Retreat Terms & Conditions and Cancellation Policy.

You understand that your booking constitutes your agreement to these terms and that a separate Retreat Release & Waiver Agreement must be completed before participating in the retreat.
